 SUPERVISED BY: Executive Director/Campus Dean

Directs, supervises, manages and coordinates all activities for Wayland Baptist University – San Antonio Student Services, to include the following:

1. Supervises all site coordinator and academic advising activities to include assistance to students regarding degree plan and program requirements. Communicates with people outside the University, representing it to customers, the public, government, and other external sources.

2. Supervises Front Office personnel in the tasks of representing the University to the public in a positive, service-oriented manner. The Front Office receives students and other visitors and coordinates with the academic advisors, the bookstore manager, records manager and business office manager to help resolve basic student issues with registration, financial aid, admissions, account balances, and advising. Advises potential students on registration and admission procedures and financial aid applications. 

3. Serves as back-up Academic Advisor during peak periods.

4. Supervises the Institutional Advancement functions, manages and coordinates activities to fulfill Institutional Advancement operations. Plans, prepares, and revises work schedules and duty assignments according to budget allotments, customer needs, problems, work-loads, and statistical forecasts. Verifies completeness and accuracy of work, computations, and records. Oversees, coordinates, or performs activities associated with correspondence with the Plainview campus. Evaluates subordinate job performance and conformance to regulations, and recommends appropriate personnel action. Consults with Executive Director/Dean and other personnel to resolve student problems, equipment performance, output quality, and work schedules. Trains employees in work and safety procedures and University policies. Analyzes financial activities of the department and assists in planning and executing budgets.

5. Administers the Career Services Center to help develop the workforce of the greater San Antonio metropolitan area by assisting students, alumni, and other designated clients (to include hard-to-place individuals) in developing, assessing, and/or implementing career, education, and employment goals to help them move productively into the workforce in a variety of occupations and professions or into further educational pursuits.

6. Manages the Center for Continuing Education which works in partnership with the academic units to serve the greater San Antonio metropolitan area's adult, non-credit, professional and executive continuing education needs through a selective range of.

7. Serves as the Designated School Official (DSO) for the San Antonio Campus for the Student and Exchange Visitor Program (SEVP).



1. Coordinates activities with the Executive Director/Dean.

2. Determines related staffing requirements, interviews and makes recommendations for hiring.

3. Administers related staff development activities to include recommendations to the Executive Director/Dean for personnel disciplinary action and possible termination when appropriate

4. Recommends related annual budget to the Executive Director/Dean.

5. Establishes and implements the unit’s policies, goals, objectives, and procedures, conferring with the Executive Director/Dean, advisory committee members, organization officials, and staff members as necessary.

6. Supervises related staff, prepares schedules and assigns specific duties.

7. Works with the Director of Institutional Advancement and related staff to develop and implement strategies for fundraising, marketing, media relations and recruiting based on the University’s goals and objectives.

8. Builds relationships with people outside the organization, representing the organization to customers, the public, government, corporations and other external sources.

9. Works with the Director of Institutional Advancement and related staff to write press releases, prepare information for marketing and media and develop and submit information for posting to the web site.

10. Helps develop and maintain the University's corporate image and identity.

11. Performs duties as academic advisor during peak periods.

12. Addresses community groups, faculty, and staff members to explain available services.

13. Compiles and studies occupational, educational, and economic information to assist in determining objectives for the San Antonio campus.

14. Works closely with the Executive Director, ASSISTANT Executive Director, Academic Advisors, Registrar’s Office, External Records, Admissions Office, Finance Office, and other appropriate departments to answer questions and resolve issues.

15. Enforces all administration policies and rules governing students and aassists with development and implementation of policies and procedures designed to ensure that the campus and University fulfills the mission.

16. Works closely with the local Admissions/Development Program Administrator and Assists with student recruiting as required.

17. Supports the recruiting team.

18. Develops strategies for the development and compilation of information for prospective students to inform them of admission requirements, financial assistance programs, scholarship eligibility, student life, and other aspects of Wayland.

19. Travels throughout the market area conducting and /or assisting in recruiting fairs, church visits, fellowships, alumni association meetings, and other recruiting activities.

20. Develops, coordinates and executes the annual recruiting plan.

21. Develops, coordinates and executes the annual marketing plan.

22. Oversees the Director of Institutional Advancement in the management of the annual giving campaign.

23. Interacts with customers, prospective students and prospective donors/contributors.

24. Performs other related duties as required.

25. Plans, directs and coordinates activities for Career Services and Continuing Education activities such as promotions, grant proposals, needs assessments, and other related activities as required.

26. Reviews financial statements, activity reports, and other performance data to measure productivity and goal achievement and to determine areas needing program improvement.

1. Master’s degree in business or related field required.

2. Doctorate degree or post masters work highly desired.

    Experience &  Knowledge:

1. Experience in a university administration setting, preferably student services or registrar’s office – university level classroom teaching experience a plus.

2. Experience in marketing and recruiting.

3. A deep commitment to Christian Higher Education and agreement with the purposes and philosophy of higher education as promoted by the Baptist General Convention of Texas in general and WBU in particular. 

4. An understanding of and commitment to work with educational programs related to churches, businesses, industries, and the military.

5. Experience in the area of executive leadership and management and supervising staff.

Skills & Abilities:

1. Knowledge of business and management principles involved in strategic planning, resource allocation, human resources modeling, situational leadership strategies, production methods, and coordination and empowerment of people and resources.

2. Knowledge of human behavior and performance; individual differences in ability, personality, and interests.

3. The ability to communicate information and ideas in speaking so others will understand.

4. The ability to read and understand information and ideas presented in writing.

7. Must possess good computer skills with Microsoft Word, Excel, Access and PowerPoint.

8. Must be willing and able to develop a working knowledge of the University Power Campus and IQ Web programs.

9. Must be detail-oriented and have good organizational skills.

10. Ability to understand and interpret personnel policies and procedures.

11. Ability to be flexible, prioritize and available to work extended hours as needed.

12. Ability to follow directions and work cooperatively with others.

13. Service orientation – actively looks for ways to help people and solve their problems.
