University Store Purchasing Clerk

LOCATION: Wayland Baptist University (WBU) – Plainview Campus 

DEPARMENT: University Store 

SUPERVISED BY: Director of the University Store 

POSITION CLASSIFICATION:  Non-Exempt 

POSITIONS SUPERVISED: Student Workers; University Store Administrative Assistant                                                           

GENERAL RESPONSIBILITIES:  The University Store Purchasing Clerk is primarily responsible for purchasing items for the University; tracking purchase orders; invoices; training; scheduling and other items as noted.

SPECIFIC TASKS AND DUTIES: 

  1. Process purchase orders for departments
  2. Maintain and order trade books, Bibles, and sundries, order and maintain greeting cards
  3. Correspondence with Vendors
  4. Demonstrate excellent customer service
  5. Oversee merchandise and inventory
  6. Answer the main phone line to the University Store
  7. Oversee gift wrapping
  8. Enter merchandise into inventory
  9. Purchase items for other departments
  10. Assist with merchandise floor displays
  11. Help with student worker schedule and keep record of timesheets
  12. Oversee student workers
  13. Work on print jobs and order copy paper
  14. Filing and scanning items into Image Now
  15. Assist student workers on register and other areas of store if required
  16. Assisting in textbook department as needed
  17. Providing excellent customer service
  18. Assist with Daily Paperwork if needed
  19. Enter bookstore charges to students and employee accounts if needed
  20. Any additional needs that are requested by textbook staff or Director of University Store
  21. Help with counting inventory
  22. Order diploma frames and other supplies as needed
  23. Work on Saturdays if needed

MINIMUM QUALIFICATIONS:

Education, Certification and License:

High School Diploma or GED required.

Experience and Knowledge:

  1. Previous office experience preferred
  2. Previous purchasing experience preferred
  3. Experience in working with the public and minimal supervisory experience

Skills and Abilities:

  1. Must have the commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular
  2. Must be customer service driven
  3. Demonstrate strong interpersonal skills that develop effective working relationships with vendors, faculty and staff
  4. Able to interact with students and parents in a positive way
  5. Possess excellent organizational skills
  6. Demonstrate exceptional phone etiquette
  7. Exercise excellent verbal and written communication skills
  8. Knowledge of MS Office including Word, Excel, and Outlook
  9. Work independently on assigned tasks as well as to accept direction on given assignments
  10. Manage multiple priorities and tasks in a demanding, fast-paced environment
  11. Be a positive force in the University Store by portraying a helpful attitude with other personnel and all customers
  12. Must demonstrate honesty, reliability, dependability, accuracy, loyalty, punctuality, professional appearance and determination in the performance of the position

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish his or her identity and employment eligibility as required by Immigration and Naturalization Services.  Employee must be able and willing to travel and teach at other external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
