University Store Accounting Clerk

LOCATION: Wayland Baptist University (WBU) – Plainview Campus 

DEPARTMENT: University Store 

SUPERVISED BY: Director of the University Store 

POSITION CLASSIFICATION:  Non-Exempt 

POSITIONS SUPERVISED: Student Worker                                                           

GENERAL RESPONSIBILITIES:  The Bookstore Accounts Clerk is responsible for opening and closing the bookstore POS system each day, count the register drawers each day and run the end of month closing for each campus store with a POS system.

SPECIFIC TASKS AND DUTIES: 

  1. Invoice completion for business office.
  2. Data entry of invoices and credit memos.
  3. Correspondence to vendors.
  4. Data processing for University Bookstore.
  5. Sales reports daily, monthly and yearly.
  6. Enter bookstore charges to student’s accounts
  7. Opening and Closing the bookstore POS system each day, count the register drawers each day.
  8. Head cashier, end of day reports, sales reports (daily and monthly).
  9. Enter bookstore charges to students and employees accounts.
  10. Filing and scanning into Image Now.
  11. Process requisitions, purchase orders, invoices and credit memos for departments and campuses.
  12. Charge accounts for copies made for ALL departments.
  13. Order graduation cap/gowns for ALL campuses, help with class rings.
  14. Work on print jobs and order copy paper.
  15. Order diploma frames and some supplies if needed.
  16. Help with customer service, telephone, UPS or FedEx shipping stations (if needed).
  17. Supervise student workers.
  18. Help with entering merchandise inventory.
  19. Help with inventory.
  20. Gift wrap if needed.

MINIMUM QUALIFICATIONS:

Education:

High School Diploma or GED required.

Experience and Knowledge:                                                                                                 

  1. Experience in working with the public and minimal supervisory experience.

Skills and Abilities:

  1. Must possess good PC skills and experience with spreadsheets, charts and data bases.
  2. Must have the commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
  3. Must be able to be a positive force in the office by portraying a positive attitude toward other office personnel, in phone conversation and in greeting customers.
  4. Must possess the ability to be punctual, dependable and have integrity, honesty and loyalty in the performance of the position.

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel and teach at external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
