Student Services Support Specialist

LOCATION: Wayland Baptist University - Plainview Campus

GENERAL RESPONSIBILITIES: The Student Services Support Specialist position is the primary and initial point of contact for new and continuing students for the offices of Student Services. This contact will include interactions in person, telephone, email, and video conferences. This position provides excellent customer service to students, parents, faculty and staff in a centralized student services center. The successful candidate will be detail-oriented, energized and motivated to give detailed and accurate responses to students while contributing to a friendly office environment.


  1. Responsible for hiring, creating work schedules, assigning work tasks, and approving timesheets for student workers.
  2. Maintaining and entering confidential information and following FERPA, HIPAA, and data security requirements.
  3. Monitor the progress and efficiency of workflows and processes and make recommendations/changes to increase accuracy and efficiency.
  4. Must have exceptional organizational and communication skills with the ability to work independently and prioritize activities.
  5. Maintains security and strict confidentiality of all office and student information.
  6. Exhibit excellent decision making and problem-solving skills.
  7. Perform accurate and efficient document processing, review, and auditing.
  8. Establish and maintain collaborative working relationships with diverse publics across all levels of the institution while serving as a liaison between the students and University departments.
  9. Provide administrative, clerical, analytical and operational support to the Student Services Department by obtaining and utilizing knowledge of all Student Support areas (admissions, financial aid, student accounts, advising, testing and disability services) as well as academic & administrative policies and procedures.
  10. Coordinate various financial procedures for all Student Services areas such as budget management, requisitions, purchasing supplies, etc.
  11. Provide assistance to students seeking appointments for counseling or disability services or other areas related to the Student Services Department.
  12. Must be flexible and adaptive to work around interruptions and make adjustments in response to change.
  13. Greet and schedule individuals seeking appointments for Health Services or Counseling or Disability Services. This may include receiving documentation or providing individuals with documentation such as verifications or intakes.
  14. Answer phones as needed for all Student Services Offices.
  15. Print student ID cards.

Education, Certification and License:

  1. High School Diploma or G.E.D. required
  2. College degree preferred

Experience and Knowledge:

  1. Previous experience in higher education, related field preferred.
  2. Experience working directly with the public both in person and by telephone preferred.

Skills and Abilities:

  1. Knowledge and experience working with computers and software in a Windows environment. Proficiency in Microsoft Office is essential.
  2. Ability to project a positive image for the university.
  3. Ability to write well, employing accepted principles of business communications, is preferred.
  4. Ability to anticipate problems and use good judgment in developing solutions.
  5. Ability to work with minimal supervision.
  6. Be able to work with a wide variety of people and participate as a team member to accomplish multiple projects and goals. Also be able to meet and greet the public in a positive and productive way.
  7. Be a self-starter, self-motivated and possess the ability to conceptualize processes.
  8. A committment to Christian Higher Education and in agreement with the purposes and philosophy of Christian Higher Education as promoted by the Baptist General Convention of Texas generally, and Wayland Baptist University particularly.

While performing the duties of this job, the employee is regularly required to sit. The employee frequently is required to reach with hands and arms. The employee is frequently required to talk and listen. Specific vision abilities required by this job include close vision, distance vision and peripheral vision.

This is a high traffic and multi-tasking functional department. This is also a busy working environment. Variances from regular working hours may be necessary to fulfill the responsibilities of the position.


Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel. Must be able to operate a licensed motor vehicle and possess a valid state driver’s license or have access to reliable transportation. Must have and maintain a satisfactory driver’s record.
