Site Coordinator

LOCATION: Wayland Baptist University (WBU) – Hawaii Campus - Marine Corps Base Hawaii 

SUPERVISED BY: Senior Academic Advisor 

POSITION CLASSIFICATION: Exempt (Administrative) 


GENERAL RESPONSIBILITIES: The Site Coordinator oversees all aspects of the academic and fiscal operations related to the WBU portions of the Joint Education Center and other anchor schools to provide smooth coordination of academic affairs for students and faculty.


Marketing and Promotion:

  1. Plan and organize Education Fairs and marketing efforts for WBU and general education on the Marine Corps base (bi-annual and as needed).
  2. Attend and promote WBU at monthly New Arrival Orientations (NAO).
  3. Coordinate BAYFEST/ AIR SHOW project for WBU (annual).
  4. Rotate and refresh bulletin boards each term and according to seasons.
  5. Maintain brochure racks.
  6. Greet and direct all students as they enter the JEC college office.
  7. Sell WBU programs to new and inquiring students.


  1. Attend weekly Joint Education (JEC) meetings and take/publish minutes in rotation.
  2. Assure proper care and operation of Classroom D equipment regularly.
  3. Issue student/faculty/staff base passes each term.
  4. Maintain proper running and functioning of site office and equipment.
  5. Develop quarterly MCBH MATRIX (college schedule of classes).
  6. Responsible for coordination between K-Bay and Camp Smith offices.
  7. Assist Base professors with class coordination/ office needs.
  8. Greet class members and direct to classrooms at first class of each term.
  9. Distribute and collect JEC evaluations to classes each term.
  10. Act as liaison between JEC staff and WBU.
  11. Perform janitorial functions as deemed necessary by JEC.
  12. Plan and coordinate Annual Christmas party.
  13. Provide classroom statistics each term to JEC.
  14. Keep Executive Director/Campus Dean appraised of concerns pertinent to WBU, the Marine Corps and the other schools
  15. Assist in MIVER audits
  16. Maintain collegial rapport with anchor school reps


  1. Build degree plans for each new student.
  2. Follow up on deployed student’s TA.
  3. Advise WBU students and maintain proper and scanned records (distant & face to face students).
  4. Alert current students of up and coming terms for acquiring timely TA and other pertinent University changes.
  5. Follow up on students who have not taken classes for a season.


  1. Help train/ supervise new WBU academic advisors.
  2. Assist in coordination of VTC and 3M scheduling/training and implementation.
  3. Train JEC staff/ Unit ESO personnel quarterly and as needed.

Bachelor’s Degree is preferred.

Experience and Knowledge:

One (1) to three (3) years of proven office experience.  Works independently with full knowledge of WBU policies, procedures and academic advising

Skills and Abilities:

  1. Fully trained academic advisor
  2. Must possess excellent computer skills and the ability to use programs such as Access, Word & Outlook, Power campus, IQ web and Blackboard, 3M, and can assist others with these skills
  3. Can interface effectively with military, students, JEC director and staff as well as other college site coordinators
  4. Works independently to maintain a fully functioning and professional WBU office
  5. Possesses planning and management skills


Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel.  Must be able to operate a licensed motor vehicle and possess a valid state driver’s license or have access to reliable transportation.  Must have and maintain a satisfactory driver’s record.
