Assistant to the Campus Dean

LOCATION: Wayland Baptist University – Tucson Campus 

SUPERVISED BY: Executive Director/Campus Dean 

POSITION CLASSIFICATION: Part-time 

GENERAL RESPONSIBILITIES: The Assistant to the Campus Dean supports the Executive Director/Campus Dean by tracking administrative details, and clearing the path for the Exec/Dean to make his best contribution to Wayland Baptist University. The Assistant will anticipate needs at a high level, allowing the Exec/Dean to develop vision and strategy for the Arizona Campuses. While repetitive tasks are part of this position, tasks assigned can vary from week to week based on the Exec/Dean’s needs and the needs of campuses. The Assistant will ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity in order to support the initiatives of the Exec/Dean                                                                                                                                                                      

SPECIFIC TASKS AND DUTIES:

  • Meeting management including preparing agendas, printing reports, taking notes, distributing action items, and arranging catering
  • Communicating on the Exec/Dean behalf both internally and externally
  • Email management on behalf of the Exec/Dean
  • Running errands and attending in person meetings as needed
  • Checking mail regularly and processing mail to various departments
  • Complex calendar management and scheduling on behalf of the Exec/Dean and designated teams
  • Varying personal and professional administrative tasks including, but not limited to, booking appointments, research projects, coordinating travel, and ordering gifts/flowers, etc.
  • Weekly reporting on behalf of the Exec/Dean and the designated teams
  • Travel may be required as determined by the Exec/Dean.

MINIMUM QUALIFICATIONS:

Education:

Bachelor’s Degree is preferred.

Experience and Knowledge:

  1. One (1) year of office related experience.  
  2. Knowledge of how to apply Christian principles in the work place is also required.

Skills and Abilities:

  1. Must have excellent verbal and written communication skills.
  2. An in-depth understanding of, and commitment to, the “team” and “servant leadership” concepts is essential to advancing the Arizona Campuses mission.
  3. Excellent computer skills are required.
  4. Must be an excellent manager of time.
  5. High level of discretion
  6. Ability to bend, reach, and lift boxes and offices supplies up to 30 lbs.
CONDITIONS OF EMPLOYMENT: 

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE). Employee must be able and willing to travel. Must be able to operate a licensed motor vehicle and possess a valid state driver’s license or have access to reliable transportation. Must have and maintain a satisfactory driver’s record.
