S985 - Academic Advisor

LOCATION: Wayland Baptist University (WBU) – Albuquerque Campus, Kirtland Air Force Base

POSITION CLASSIFICATION: Non-Exempt

POSITIONS SUPERVISED: None

GENERAL RESPONSIBILITIES: The Academic and Financial Aid Advisor/VA Certifying Official meets with prospective and current students, advises, prepares undergraduate and graduate degree plans, monitors degree plan progress, assists with registration and graduation issues and provides assistance to students regarding financial aid, to include obtaining and explaining such information from all relevant sources. The goal is to promote positive relationships between the students and Wayland Baptist University.

SPECIFIC TASKS AND DUTIES: 

  1. Advise students by scheduling times to meet with students and provide accurate and timely information regarding registration and financial aid issues
  2. Advise students in graduate degree programs offered by the University
  3. Prepare undergraduate and graduate degree plans in a timely manner and provide accurate information
  4. Assist in registering students by placing students in courses that match degree plan requirements
  5. Communicate financial responsibilities to students in a manner that promotes student understanding and acceptance of financial responsibility related to financial aid
  6. Inform students of all required forms for financial aid application
  7. Inform students of financial aid processes
  8. Inform student of need for full admission to WBU before financial aid can process
  9. Input student account data maintaining accurate financial aid and registration records
  10. Provide information needed for students to register through Student Services
  11. Identify students who are eligible to graduate and provide graduation requirements to students who are not ready to graduate
  12. Monitor student degree plans, correct mistakes on the degree plans and advise students in completing the sequence of courses required for the degree
  13. Provide information regarding scholarships available to students
  14. Council with students who have a problem or grievance and advise students in proper course of action
  15. Follow WBU policy and procedure in the catalog and in External Guidelines for Advisors
  16. Utilize advisor training videos; consult with senior advisor(s) for additional information and training
  17. Provide backup for staff regarding accepting and processing payments, determining student account balances, processing campus deposits, filing, and reception duties
  18. Assist the Executive Director/Campus Dean in ways enabling the Albuquerque Campus to fulfill successfully its mission

MINIMUM QUALIFICATIONS:

Education:

  1. Bachelor’s Degree in Business, Counseling, Education or a related field is required

Experience and Knowledge:

  1. Understanding of the academic and financial aid requirements of a four-year university
  2. Knowledge of and experience with technology, especially technology associated with institutions of higher education
  3. Excellent knowledge of resources needed to complete university degrees
  4. Knowledge of majors and degrees offered preferred

Skills and Abilities:

  1. Exceptional verbal and written communication skills
  2. Exceptional MS Word, Excel and Outlook skills are also required
  3. Excellent skills in academic advising, including assisting students in problem solving to complete degree requirements
  4. Service orientation which actively looks for ways to help people
  5. Social perceptiveness which is aware of others' reactions and understanding why they react as they do
  6. Active listener willing to give full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times
  7. Communicate information and ideas in speaking so others will understand
  8. Maintain privacy and confidentiality related to student accounts and personal issues
  9. Apply biblical principles in a variety of advising situations

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel.  Must be able to operate a licensed motor vehicle and possess a valid state driver’s license or have access to reliable transportation.  Must have and maintain a satisfactory driver’s record.
