POSITION SUPERVISED BY:  Executive Assistant to the President

POSITION CLASSIFICATION:  Non-Exempt

POSITIONS SUPERVISED:  None                                                         

GENERAL RESPONSIBILITIES: The Administrative Assistant is responsible for positively and professionally representing the Office of the President to all University constituents and in all assigned duties.

SPECIFIC TASKS AND DUTIES: 

1.  Assist the Executive Assistant in office communications, including but not limited to:

a.  Appropriately greet visitors to the office and provide information or direction as appropriate

b.  Answer questions from students, applicants, professors, administrators, visitors and other Wayland constituents

c.  Answer telephones in Wayland’s multi-line system;

d.  Address concerns and/or route telephone calls or email to the appropriate personnel in an effort to fully address the concerns of the callers

2.  Assist the Executive Assistant in tasks as assigned, including but not limited to:

a.  Processing mail daily

b.  Christmas cards and decorations

c.  Christmas employee bonus cards

d.  Senior Seminars

e.  Dinner with the President

f.  Graduations, Convocation, and Heritage Chapels

g.  Board of Trustees meetings and events

h.  Willson Lectures

i.   Events and activities on campus or at off-campus venues including the President’s home

4.  Assist the President in tasks as assigned

5.  Assist the President’s spouse in tasks as assigned

MINIMUM QUALIFICATIONS:

Education:

1.  High School Diploma or GED required

2.  Some college work preferred

Experience and Knowledge:

1.  Five (5) years of successful experience in a professional office setting

2.  Five (5) years proven computer experience with Microsoft Office programs

Skills and Abilities:

1.  Understand, respect and work within Wayland’s Baptist Christian higher education work environment

2.  Learn new information and skills

3.  Positively accept and execute change when needed in a rapidly changing higher education environment

11.  Be a positive force in the office by portraying a Christian servant attitude toward other office personnel in face-to-face encounters, telephone conversations, and in written communications with students, families, administration, faculty, staff members, visitors, and other Wayland constituents

12.  Occasionally work non-standard hours or travel for university business
