Payroll Coordinator

General Responsibilities: The Payroll Coordinator manages the payroll process and performs accounting related tasks for all Wayland employees and students

Specific Tasks and Duties: 

  1. Analyzes, prepares and inputs payroll data. Typically uses automated system to produce accurate and timely payroll. Ensures compliance with all applicable state and federal wage and hour laws
  2. Prepares weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions, etc.) for management
  3. Performs various journal entries, account reconciliations, and provides General Ledger support
  4. Responsible for the payroll process for Student, Adjunct, Hourly & Salaried employees
  5. Responsible for payroll deductions
  6. Prepares payroll related reports for the Plainview and External Campuses such as 941 Employer quarterly tax return (Federal), Monthly unemployment reporting and withholding tax returns (State), Quarterly worker’s compensation report (Insurance Carrier) Quarterly SUTA reporting (States unemployment)
  7. Responsible for preparation of and reporting Federal withholding and FICA deposits in compliance with IRS regulations and rulings
  8. Responsible for preparation of and reporting of various State’s withholding tax semimonthly, monthly, quarterly & annually
  9. Prepares salary transfers, including student payroll
  10. Responds to notifications from state agencies regarding unemployment claims filed by former employees
  11. Report New Hires to proper states each payroll
  12. Enters all new employees into Great Plains with salary, department, position, pay codes, tax information, additional information and direct deposits. Updates new direct deposits and W-4’s in Great Plains
  13. Report and submit garnishment payments to the proper agencies each payroll
  14. Report and submit payment of deductions to proper agencies
  15. Request checks from accounts payable
  16. Prepare audit reports each year for annual financial and workers comp audits
  17. Prepares year end W-2’s and W-3
  18. Assists in 1095 preparation & processing
  19. Maintain Ministerial housing information
  20. Update state tax rates in Great Plains each January when new rates are released
  21. Prepares data for Department of Labor Monthly Statistics
  22. Assists Benefits Coordinator & acts as back up in her absence
  23. Assists Assistant Coordinator of Human Resources & acts as back up in her absence

Minimum Qualifications:

Education:

  1. High School Diploma or GED is required
  2. College level Business Administration or Accounting classes is preferred

Experience and Knowledge:

Two (2) years proven payroll experience required.

Skills and Abilities:

  1. Skillful, pleasant and tactful in receiving telephone calls, and visitors
  2. Honesty, reliability, accuracy and integrity in completing job assignments
  3. Computer proficiency using such programs as Word, Excel and Great Plains among other program as needed
  4. Ability to use a ten key calculator by touch
  5. Must have the ability to work independently, receive a minimum of supervision and guidance on policies, procedures and personnel
  6. Must have good communication skills, use administrative reporting channels appropriately
  7. Must be able to establish and maintain effective working relationships: anticipate problems and use sound judgment and tact in handling confidential matters
  8. Must have a commitment to Christian higher education, in general, and the purpose of philosophy of higher education as promoted by the Baptist General Convention of Texas, in general, and of Wayland Baptist University in particular

Conditions of Employment:
Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel and teach at external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
