Office Manager

LOCATION: Plainview Campus 

DEPARTMENT: Office of Admissions 

SUPERVISED BY: Director of Admissions 

POSITION CLASSIFICATION: Non-Exempt

GENERAL RESPONSIBILITIES:  The Office Manager is responsible for processing Admissions documents, organizing and maintaining effective office procedures, providing information to prospects, and generally representing the Admissions Office to all of the University's public in a positive manner.                                                                                                                                                                

SPECIFIC TASKS AND DUTIES: 

  • Adheres to guidelines in the University Policy and Procedures Manual
  • Assists in the preparation and management of all Plainview and external traditional applicant files as assigned - application imports, transcript records, test imports, and acceptance letters
  • Answers phones in the multi-line system, responding to the questions of prospective students, applicants, professors, administrators, and members of the larger Wayland community
  • Welcomes and assists prospective students and their families and others who enter Gates Hall
  • Organizes office processes to ensure a clean, orderly, productive, professional, and pleasant environment for internal and external customers and Admission staff.
  • Maintains constant communication with office staff, the director and other internal staff to ensure efficiency in all activities relevant to the Admission process
  • Identifies and communicates with Centennial/Pioneer scholars and maintains their scholarship records
  • Assists in the planning and coordination of prospective student events such as Pioneer Preview and Big Weekend through partnership with other administrative departments, communication with prospective students and their families, and execution of events
  • Assists with and attends all early registration and preview events and all other Admission events requiring full-staff participation
  • Orders and maintains supplies for office and extended student worker teams
  • Oversees and coordinates student worker timesheets

MINIMUM QUALIFICATIONS:

Education:

  1. High School Diploma or GED required
  2. Some college work preferred

Experience and Knowledge:

Two years of proven office setting experience preferred

Two years of proven customer service experience preferred

Computer experience required

  1. A commitment to Christian Higher Education and in agreement with the purposes and philosophy of Christian Higher Education as promoted by the Baptist General Convention of Texas generally, and Wayland Baptist University particularly
  2. Ability to be a positive force and role model in the office by portraying a positive attitude toward other office personnel, in phone conversation and in students, family, faculty and staff members
  3. Punctuality, dependability, integrity, honesty and loyalty in the performance of duties of the position
  4. Outstanding oral and written communication skills
  5. Outstanding planning, organizational, and problem-solving skills as well as meticulous attention to detail                                                                                               
  6. Ability to work with multiple software platforms to include Word, Excel and Outlook.
  7. Strong initiative and ability to work independently toward Admissions goals as well as ability       to accept direction and correction on work
  8. Ability to work collectively with the administrative and recruitment team associates
  9. Outstanding interpersonal and customer service skills
  10. Ability to learn and retain information from a wide variety of sources

  12. Ability to lift 25 lbs.

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel and teach at external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
