Museum Administrative Assistant and Digital Media Coordinator (Part-Time)

LOCATION: Wayland Baptist University (WBU)

GENERAL RESPONSIBILITIES: The Museum Admin Assistant and Digital Media Coordinator is responsible for designing and implementing strategies that reflect the Center’s voice, mission, and goals by driving audience growth, cultivating visitor loyalty, and enhancing the Center’s reputation. This position promotes and markets the Center’s museums and provides administrative support to ensure efficient operation of the Center.


  1. Promote the museums through a variety of channels including website content, social media platforms such as Facebook, Instagram, and TikTok, and through digital and print advertisement opportunities.
  2. Manage and create all promotional content and provides ongoing management of social media and other online outlets. Plan and create social media campaigns in conjunction with overall museum exhibits, programs, and marketing campaigns. Maintains an awareness of the social media activity of other community organizations and cultural institutions and interacts with them when appropriate and beneficial.
  3. Track and report engagement rates on all digital channels; generate monthly reports.
  4. Collaborate with Marketing and Advancement teams to develop creative ways to promote Center initiatives.
  5. Assist in running the front desk during open hours.
  6. Answer museum phone and email. Address concerns or send phone calls or email correspondence to appropriate personnel.
  7. Assist in scheduling, planning, promoting, and running museum events, fundraisers, and educational programming.
  8. Issue and follow up on expense requisitions.
  9. Oversee gift shop reports and assets in coordination of gift shop.
  10. Assist in preparing the yearly budget and managing the budget through the year.
  11. Submit the Center’s monthly credit card statements.
  12. Assist with museum registration records and compiling visitor data.
  13. Other duties as assigned.

  1. College Degree. Heritage and/or Museum Sciences degree preferred
  1. Graphic design skills considered a plus for this position

Experience and Knowledge:

  1. Knowledge of museum ethics and standards
  2. Experience with Social Media platforms required
  3. Experience with Adobe Creative Cloud Suite required
  4. Experience with filing requisitions and financial reports

Skills and Abilities:

  1. A strong work ethic
  2. Ability to multi-task and organize projects
  3. Proficiency in computer applications, specifically Adobe Creative Cloud programs such as Photoshop, Illustrator, and InDesign, as well as Microsoft Office programs such as Word, Power Point, Excel, and Publisher
  4. Excellent communication skills both written and oral
  5. Ability to work well with others
  6. Excellent skills in project and detail management
  7. Must have strong people skills and a pleasant demeanor both in person and on telephone

Physical Demands & Working Conditions:

Ability to lift files, open file drawers, and perform repetitive arm and hand movements. Stooping, bending, and standing. Sitting at a desk or workstation. Viewing a computer monitor. Physical dexterity and coordination. Carry a camera and necessary equipment for extended periods of time.

Work as a team player.  Indoors, our typical work environment is climate controlled. Some outdoor work may apply. Importance of being exact or accurate.  Repetitive motions and tasks.  Transportation to and from work provided by individual.  May require travel to other locations.
