Distance Learning and Administrative Specialist

LOCATION: Wayland Baptist University (WBU) – remote

GENERAL RESPONSIBILITIES: The Distance Learning and Administrative Specialist of WBUonline is responsible for two types of campus support:  First, the specialist is responsible for providing Learning Management System (LMS) support to students, staff and faculty in a professional, customer-friendly manner, and performs responsible work in the preparation and distribution of time-sensitive session information. Duties for this support consist of problem-solving student issues, basic course design, and entering data and generating reports from the various databases used by WBUonline. Secondly, the specialist assists the director in managing the web databases and online portals that facilitate the administration of our online courses. The specialist assists the director in overseeing the Blackboard queries, analysis of data, and generation of shared reports. The specialist, in this administrative capacity, will assist the director in WBUonline budget preparation and reconciliation, National Council for State Authorization Reciprocity Agreements (NC-SARA), and University Accessibility policy and compliance.  Work is performed under general supervision with evaluations of job performance based upon accuracy and timely completion of assigned work.

Major/Essential Functions:  The Distance Learning and Administrative Specialist will perform technical assistance functions and specialized duties in the support of distance learning programs, by aiding students in LMS functionality, and software utilization, and technical support to faculty related to course delivery and accessibility. Data reports on Census, and student interaction for retention are of primary focus. Must be able to interact with students, faculty and administrative representatives appropriately through verbal and electronic mediums.    

SPECIFIC TASKS AND DUTIES:

  1. Provides general support to students using Blackboard (LMS) by phone, email and other means.
  2. Oversees the student Blackboard support portal responding to escalated student support requests and monitoring the status of open tickets to make sure all student support issues are resolved in a timely manner.
  3. Provides assistance to faculty on the use of course tools, course design, and meeting WBUonline standards within the LMS.
  4. Assists in workshops and training sessions for instructors with the Director.
  5. Coordinates administrative withdrawals for reported No-Shows and facilitates Last Date of Attendance requests.
  6. Oversees the proctor approval process, keeps a database to track proctor candidates, updates proctor information in Blackboard, and manages the online proctoring system.
  7. Reconciles monthly budget accounts.
  8. Assists in supporting the various applications associated with WBUonline, including Blackboard Data, Power BI, VidGrid, Infobase, PowerCampus, Student Services, and Microsoft Office.
  9. Resolves and recommends solutions to problems as they arise to better serve the online constituency.
  10. Monitors support by phone one weekend a month.
  11. Is familiar with Web Content Accessibility Guidelines (WCAG) to assist students and faculty.
  1. Maintains an in-depth online knowledge base for technical support of our students and faculty.
  2. Manages the web databases and online portals that facilitate the administration of our online courses.
  3. Performs other duties as assigned by the Director of WBUonline.

MINIMUM QUALIFICATIONS:

Education:

Master’s Degree (minimum) with coursework in educational technology or other job-related/ online teaching area, and two years full time paid computer-related experience;

Experience and Knowledge:

A combination of education and/or full-time paid related experience to equal five years; experience with Blackboard and distance learning required. Preference will also be given to applicants with an understanding and working knowledge of data analytics and writing SQLs. Familiarity with Accessibility Guidelines preferred.

Skills and Abilities:

  1. Must be accurate and alert, showing precision in work that is assigned.
  2. Must be able to work with Blackboard and related course management tools.
  3. Must be proficient with Microsoft Office, especially Word, Excel and Outlook.
  4. Must have good verbal and written communication skills and be able to interact with students, faculty, and administrative representatives appropriately through verbal and electronic media. 
  5. Must possess strong organizational skills.
  6. Must be a self-starter and possess good time management skills.
  7. Must work cooperatively with others in order to achieve a common goal.
  8. Must have a commitment to Christian higher education and agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.  Employee must be able to work as a team player, be exact and accurate, pay very close attention to detail, and be able to work flexible hours as needed. If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).
