Bookstore Manager

LOCATION: Wayland Baptist University (WBU) - San Antonio Campus

POSITIONS SUPERVISED: Bookstore Associates 

GENERAL RESPONSIBILITIES: The Bookstore Manager supervises, manages, and coordinates activities of associates engaged in clerical or administrative support activities to fulfill the Bookstore operations. Plans, prepares, and revises work schedules and duty assignments according to budget allotments, customer needs, problems, work-loads, and statistical forecasts. Verifies completeness and accuracy of associates' work, computations, and records. Interviews, selects, and makes recommendations regarding hiring and discharging employees. Oversees, coordinates, or performs activities associated with correspondence with the Plainview campus. Evaluates associates’ job performance and conformance to regulations, and recommends appropriate personnel action. Consults with supervisor and other personnel to resolve problems, such as equipment performance, output quality, and work schedules. Trains associates in all related policies and procedures. Analyzes financial activities of the Book Store and assists in planning and executing budgets.

SPECIFIC TASKS AND DUTIES: 

  1. Coordinates the work and activities of others - gets members of the team to work together to accomplish tasks
  2. Develops and implements policies and procedures for the general operation of the Bookstore
  3. Researches and oversees the ordering of instructional materials for faculty, to include maintaining the database and resolving issues
  4. Researches and oversees the ordering of supplies and general merchandise to fulfill the needs of students, staff and instructors
  5. Liaison with publishers and suppliers regarding invoices concerning charges, shortages and credit memos
  6. Supervises the receipt, unpacking, inventorying, cleaning when necessary, labeling and re-labeling, stocking of shelves of large shipments of books and materials
  7. Supervises the packing, labeling, inventorying and shipping of books and other merchandise to publishers and the Plainview bookstore
  8. Responsible for reports, money, deposits, and accountability
  9. Coordinates with all academic advisors and others as appropriate on book lists, pricing, and book buy-back
  10. Provides support to outside campus activities such as the Council on Military Education in The South (COMETS) and other recruiting and student activities
  11. Maintains displays of merchandise
  12. Guides, directs, and motivates associates - provides guidance and direction to associates, including setting performance standards and monitoring performance
  13. Obtains information - observes, receives, and otherwise manages necessary information from all relevant sources
  14. Establishes and maintains interpersonal relationships - develops constructive and cooperative working relationships with associates, peers and supervisors, and maintains them over time
  15. Performs administrative activities – directs the day-to-day administrative tasks such as maintaining information files and processing paperwork
  16. Coaches and develops associates - identifies developmental needs of others and coaches, mentors, or otherwise helps others to improve knowledge, skills or abilities
  17. Organizes, plans, and prioritizes work for associates - develops specific goals and plans to prioritize, organize, and accomplish assigned responsibilities
  18. Supervises the data entry, transcribing, recording, storing, or maintaining information in written or electronic form
  19. Staffing - recruits, interviews, selects, recommends hiring, and promoting employees in the Bookstore
  20. Communicates effectively with faculty, staff, supervisors, peers, or associates – provides information by telephone, in written form, e-mail, or in person
  21. Provides the necessary staffing to support registration and graduation
  22. Works in a cross-functional team capacity to develop, coordinate and implement the registration schedule

MINIMUM QUALIFICATIONS:

Education, Certification and License:

  1. High School Diploma or GED required with emphasis on office management/office skills desired
  2. Bachelor’s degree in business or related skills highly desired

Experience and Knowledge:

  1. Experience in retail, preferably in managing a bookstore operation
  2. A deep commitment to Christian Higher Education and agreement with the purposes and philosophy of higher education as promoted by the Baptist General Convention of Texas in general and WBU in particular
  3. An understanding of and commitment to work with educational programs related to churches, businesses, industries, and the military
  4. Experience in the area of management and supervising staff

Skills and Abilities:

  1. Must possess good computer skills with Microsoft Word, Excel, Access, and PowerPoint experience
  2. Must possess a working knowledge of the University Power Campus program
  3. Must possess a working knowledge of the WinPRISM program
  4. Must possess good verbal and written skills plus good listening skills
  5. Must be detail-oriented and have good organizational skills
  6. Ability to understand and interpret personnel policies and procedures
  7. Ability to be flexible, prioritize and available to work extended hours as needed
  8. Ability to follow directions and work cooperatively with others
  9. Service orientation – actively looks for ways to help people and solve their problems

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance. If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel and teach at external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record. The candidate will be subject to a background check and may be requested to take a drug test.
