LOCATION: Wayland Baptist University (WBU) – Plainview Campus

SUPERVISED BY: Executive Director of Human Resources

CLASSIFICATION: Exempt

POSITIONS SUPERVISED: Student Workers

GENERAL RESPONSIBILITIES: The Assistant Director is responsible for operations of the Office of Human Resources in the absence of the Executive Director. The Assistant Director will serve as the primary support person to the Executive Director in the department’s recruitment and onboarding, time and attendance, sick leave and vacation balance functions of the Human Resources Department.

SPECIFIC TASKS AND DUTIES:

  1. Assists the Executive Director with the daily operations of the Office of Human Resources.
  2. Identifies potential areas of improvement in workflow processes in the HR organization and proactively develops solutions to improve them.
  3. Oversees the recruitment and onboarding process for new hires which includes the following
  4. Coordinates New Employee Orientation
  5. Ensures new employee paperwork has been completed correctly and returned in a timely manner.
  6. Maintains up-to-date employee personnel files and ensures consistent and confidential personnel record keeping across the WBU system.
  7. Coordinates the planning and execution of special events such as staff service awards and employee service awards
  8. Conducts exit interviews with out-going employees and provides feedback of trends or areas of improvement to the Executive Director of HR.
  9. Coordinates all unemployment correspondence with the Texas Workforce Commission and represents WBU in any unemployment hearings.
  10. Responsible for overseeing WBU’s time and attendance, sick leave, and vacation functions and ensures accuracy and confidentiality of information.

MINIMUM QUALIFICATIONS:

Education:

Bachelor’s degree in Human Resources, Business, or related field is preferred

Experience and Knowledge:

  1. Experience in Human Resources is preferred
  2. Three (3) years of proven experience in an office setting is required

Skills and Abilities:

  1. Excellent oral, written, analytical and interpersonal communication skills
  2. Ability to multi-task and meet deadlines
  3. Independent problem solving, self-direction, and strong time management skills
  4. Skilled with word processing, spreadsheet, databases, and PowerPoint
  5. Must be able to build and foster relationships with internal and external stakeholders
  6. Excellent organizational skills and attention to detail
  7. Ability to manage sensitive and confidential information and situations with tact, professionalism and diplomacy

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.
