Admissions Administrator/Recruiter

LOCATION: Wayland Baptist University (WBU) – San Antonio Campus 

DEPARTMENT: Admissions 

SUPERVISED BY: Admissions & Recruiting and Veterans Affairs Manager 

POSITION CLASSIFICATION:  Exempt (Administrative) 

POSITIONS SUPERVISED: None. 

GENERAL RESPONSIBILITIES:  Works collaboratively with the Wayland—San Antonio Admissions & Recruiting and Veterans Affairs Manager to support the administration of student recruiting, admissions, and community relations. Plans, implements and manages recruiting activities to include but is not limited to business and trade shows, college/career events, special events, etc. Identifies, recruits, and develops volunteers involved in various activities on behalf of the University. Develops and maintains a comprehensive database of all prospects. Assists with the administration of the Advisory Committee. Helps coordinate community relations programs to increase visibility within the greater San Antonio metropolitan area.  Provides routine reports.

SPECIFIC TASKS AND DUTIES: 

  1. Coordinates and manages a recruiting team.
  2. Provides information for prospective students to inform them of admission requirements, financial assistance programs, scholarship eligibility, student life, and other aspects of Wayland.
  3. Travels throughout the market area conducting and/or hosting recruiting fairs, church visits, fellowships, alumni association meetings, and other recruiting activities. 
  4. Makes presentations to groups and individuals in both person and written format.
  5. Works with multiple publics in a manner congruent with the mission of the University to include but are not limited to: current students, prospective students, parents of both current and prospective students, employers, alumni, trustees, and other college/university personnel, and various internal and external personnel.
  6. Schedules and performs campus tours.
  7. Helps develops, coordinate and execute the annual recruiting plan.
  8. Helps develop, coordinate and execute the annual marketing plan.
  9. Interacts with customers, prospective students and prospective donors/contributors.
  10. Performs other related duties as required.

MINIMUM QUALIFICATIONS:

Education:

  1. Bachelor’s Degree required.
  2. Master’s Degree preferred

Experience and Knowledge:

  1. Experience in Higher Education with experience in admissions is preferred.
  2. Experience with planning, coordinating and managing special events.
  3. Experience working with volunteers and volunteer groups.
  4. Experience working with senior management in corporations and other related organizations.
  5. Project management.

 Skills and Abilities:

  1. Effective communication skills both oral and written.
  2. Organizational skills and attention to detail.
  3. Strong sense of customer service. Knowledge of principles and processes for providing customer and personal services.  This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  4. Working knowledge of MS Office to include Word, Excel and Power Point.
  5. Basic understanding of a database, with the ability to work with a database to enter and retrieve data in various formats.
  6. Basic math skills.
  7. A working knowledge of university policies and programs.
  8. Ability to use the Internet and electronic mailing.
  9. Ability to lift a minimum of 25 lbs.
  10. Must be able to work independently to include setting own schedule.

CONDITIONS OF EMPLOYMENT:

Employment is subject to a 60 day probationary period to monitor satisfactory employee performance.  Employee must be able to work as a team player, work indoors and in an environmentally controlled office area with florescent lighting, and on occasion work outdoors, be exact and accurate, pay very close attention to detail, and have transportation to and from work. The qualified applicant must be able to work flexible hours as needed. If hired, the prospective employee must present documentation within three (3) days of hire date to establish identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel on occasion as needed.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
