Admissions and Records Support Specialist

GENERAL RESPONSIBILITIES: The Admissions and Records Support Specialist position is responsible and accountable to the director of BAS/BCM Office in all departmental operations.  This position is responsible for representing Wayland Baptist University to all students, staff and faculty in a manner which is in keeping with the mission and vision of the institution.

Specific Tasks and Duties: 

1.         Acts with integrity in all matters and exhibits behavior that reflects the highest ethical and professional standards
2.         Completes all aspects of job in accordance with pertinent deadlines
3.         Replies promptly to BAS/BCM inquiries in App Review and Talisma
4.         Assists prospective walk-ins by familiarizing them with degrees offered and admissions processes
5.         Answers call/emails regarding TDCJ and Law Enforcement Scholarships
6.         Works with TDCJ recruiter to reach out to TDCJ inquiries/applicants/accepted students
7.         Assists current WBU students with pertinent non-academic issues|
8.         Via ImageNow, processes student applications for admission, including collecting all required documents and preparing the file to be sent to the admissions committee for permitting
9.         Once permitted, processes the permit to enter document and communicates appropriately with respective external campus or directly with the VC student
10.     Prepares old files to be scanned into ImageNow and processes them appropriately once scanned
11.     Effectively works ImageNow queues, including linking and routing of official documents entered into ImageNow by external campus staff
12.     Both independently and in conjunction with the external campuses, builds official graduation list(s) for respective campus(es) and disseminates appropriately
13.     Orders regalia for external campus graduation ceremonie
14.     Processes all mail coming into the BAS/BCM office
15.     Attends and assists in five Plainview registrations
16.     Aids in training of student workers in BAS/BCM office
17.     Effectively communicates daily with prospective and current students via email, phone (including text) and Facebook
18.     Effectively communicates daily with external campus staff via email and phone
19.     Responds to directives of the director of BAS/BCM Office

MINIMUM QUALIFICATIONS:
Education:

Some college-level work preferred but not required

Experience & Knowledge:

Minimum of one (1) year office and computer experience

4.      Computer proficiency
5.      The ability to deal fairly and diplomatically with students, faculty and staff in the university system

7.      A commitment to Christian Higher Education and agreement with the purposes and philosophy of Christian Higher Education as promoted by the Baptist General Convention of Texas generally, and Wayland Baptist University particularly
8.      A positive force in the office portraying a positive attitude toward other office personnel in phone conversations and in greeting executive directors, students, deans, faculty, and staff members
9.      A written statement reflecting personal faith in Jesus Christ, church affiliation and involvement is required

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel to external campuses.  Must be able to operate a licensed motor vehicle, have access to a dependable motor vehicle, and possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
