GENERAL RESPONSIBILITIES:   The Financial Aid Advisor is responsible for advising current and prospective students about their financial needs and assisting them in completing applications, identifying sources of financial aid, serve on the scholarship committee as requested, tracking financial aid accounts plus timely and efficient disbursement of funds. The Financial Aid Advisor is responsible for collecting and posting payments to student accounts in a timely manner, opens and closes credit card batches, assists with daily bank deposits, and reporting as required by the Financial Aid and/or Business Office in Plainview. This person also assists with and completes registrations and graduations as required.

Specific Tasks and Duties: 

1.     Advise current and prospective students regarding financial aid needs in a timely manner which includes loan programs, repayment options, deferments available and indebtedness information         
2.     Assist students with applications and on-line financial aid services in a timely manner
3.     Validate student provided financial aid information based upon U.S. Department of Education approved methods 
4.     Assist students in identifying sources of financial aid by providing access to sources of financial aid, including grants, loans and scholarships
5.     Assist the Assistant Campus Dean in developing sources of scholarship funds by providing timely assistance when requested
6.     Serve on the campus scholarship committee which selects scholarship recipients and awards scholarships on the basis of available funds and awards criteria
7.     Set up and maintain completed financial aid files in timely manner without delays to student awards
8.     Advise students with repayment of loans by maintaining contacts with collections office in Plainview
9.     Assist with registration by providing financial aid counseling and assist with registration during four registrations
10.  Prepare yearly objectives and be able to provide this information as requested
11.  Assist with updating of this positions job description as requested
12.   Work late afternoons and early evenings to accommodate student needs and faculty needs.  Occasional Saturday work may also be required   
13. Provides data input and maintenance of student accounts by receiving and processing student payments.  Provides accurate and timely information to inquiries regarding student accounts
14.  Prepares daily correspondence and mail to Plainview and sends daily 
15.  Processing registration forms, add/drop forms, and forwarding originals to the Plainview campus
16.  Open and close credit card and PowerCampus batches in a timely manner as needed or required
17.  Assist with opening and closing bank deposit batches in a timely manner as needed or required
18. Works closely with the Academic Advisor, Financial Aid Office, and Plainview Business Office personnel regarding student account status and the aging report while attempting to secure payment in a timely manner  
19.  Monitor and respond to e-mail messages for the main campus, which includes checking messages daily with response given daily and/or routed to appropriate persons
20.  Assists with graduation, which includes the planning and conducting the graduation banquet and graduation exercises

MINIMUM QUALIFICATIONS:
Education, Certification and License:

1.  Bachelor Degree is preferred
2.  Master’s Degree is preferred

Experience & Knowledge:

1.   One (1) year of office related experience is required
2.   Financial Aid experience is preferred  
3.   Knowledge of financial aid policies and procedures is preferred
4.   Knowledge of the academic requirements for completing degrees at a four-year educational institution is also required
5.   Knowledge of resources needed to complete university degrees is also essential
6.   General accounting knowledge and experience with collection procedures is highly desired 
7.   Must enjoy the mission of integrating faith and knowledge at Wayland Baptist University

Skills and Abilities:

1.      Must have excellent verbal and written communication skills
2.   Must have the ability to analyze mathematical calculations accurately
3.  Excellent word processing skills and working experience in Microsoft Word, Excel and PowerPoint
4.  Excellent skills in the interpretation and understanding of academic requirements related to financial aid students
5.  Possess strong administrative skills
6.   Ability to manage multiple tasks is essential  
7.  Must be detail-oriented and have good organizational skills
8.  Ability to prioritize tasks 
9.  Ability to follow directions and work cooperatively with others
10. Excellent manager of time
11. The ability to apply Biblical principles in a variety of counseling situations is also essential
12. An in-depth understanding of, and commitment to, the “team” and “servant leadership” concepts is essential to advancing the Lubbock Campus mission

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel..  Must be able to operate a licensed motor vehicle, possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
