LOCATION:  Wayland Baptist University (WBU) – Hawaii Campus – American Samoa

POSITION CLASSIFICATION: Non-Exempt (Part-Time)

GENERAL RESPONSIBILITIES: The Administrative Assistant assists with all aspects of the academic and fiscal operations related to the WBU sites and teaching locations in American Samoa, to provide smooth coordination of academic affairs for students, staff and faculty.

Specific Tasks and Duties: 

1.  Maintain strong relationships with teaching site POCs and American Samoa stakeholders
2.  Assure proper care and operation of Classroom equipment regularly
3.  Maintain proper running and functioning of site office and equipment
4.  Assist with class coordination/office needs
5.  Greet class members and direct to classrooms at first class of each term
6.  Perform janitorial functions as necessary
7.  Maintain accountability for textbooks
8.  Collect students’ payments/tuition fees
9.  Pick up the mail from the post office and distribute
10.  Maintain Program records and files, including student and faculty files 
11.  Maintain confidentiality of records and information
12.  Maintain strong communication between Site Coordinator, faculty, staff, and students
13.  Assist with the selling operations of textbooks and merchandise items
14.  Announce and track all class cancellations/changes
15.  Assist with the logistics and planning of faculty professional development days
16.  Assist with coordinating and organizing Education Fairs and marketing efforts for WBU
17.  Coordinate special projects for WBU
18.  Rotate and refresh bulletin boards each term and according to seasons
19.  Maintain brochure racks
20.  Greet and direct students and guests as they enter the office
21.  Assist in coordination of Collaborate scheduling/training and implementation
22.  Make bank deposits as necessary
23.  Purchase office supplies as necessary

MINIMUM QUALIFICATIONS:
Education, Certification and License:

1.  Associates Degree is required
2.  Bachelor Degree is preferred

 

Experience & Knowledge:

1.  Two (2) years general, office experience with one (1) year of related job experience is required
2.  Excellent customer service and writing skills
3.  Excellent communication skills by phone, e-mail, and in person
4.  Knowledge of administrative and clerical procedures
5.  Knowledge of Microsoft applications such as Word processing, Outlook, and Excel spread sheets
6.  Knowledge managing files/records, designing forms/reports, and other office procedures and terminologies
7.  Knowledge of personal information privacy policies

CONDITIONS OF EMPLOYMENT:

Employment is subject to an introductory period to monitor employee performance.   If hired, the prospective employee must present documentation within three (3) days of hire date to establish their identity and employment eligibility as required by Immigration and Customs Enforcement (ICE).  Employee must be able and willing to travel..  Must be able to operate a licensed motor vehicle, possess a valid state driver’s license.  Must have and maintain a satisfactory driver’s record.
