The Administrative Assistant assists with maintaining School of Education financial records. Additional duties include processing divisional data; faculty, student, and new student records; degree plan profiles and advising materials; oversight of School Office; greet visitors; assisting faculty and students; maintain phone lines; assist chair in preparing routine and special reports; assist in preparing course schedules; and organizing special projects as assigned.


1.   Assist with school financial records.

2.   Maintain faculty, student and new student records.

3.   Maintain various office files.(Faculty documents, student records, advising materials, etc.)

4.  Process or develop documents, reports, spreadsheets, databases, etc. as necessary.

5. Oversee basic operations of school office with minimal or no supervision.

6. Maintain school phone lines tactfully and courteously and process calls to appropriate faculty/staff members as necessary.

7. Greet visitors and prospective students in a tactful and courteous Manner.

8.   Assist with registration as needed (possibly working on Saturday as required for summer registration).

9.   Assist with preparation of annual school reports.

10.  Assist with special projects as assigned.

11.  Assist school faculty with select curriculum related activities.

12.  Train and supervise student employees.

13.  Assist in maintaining data for TEA audit.

14.  Assist school faculty with select curriculum related activities (textbook orders, photocopying, etc.)

QUALIFICATIONS: A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
Education, Certification and License:

1.  High School degree or equivalent required.

2.  Bachelor’s Degree is preferred.


Experience & Knowledge:

1.   Past office-related experience.

2.   Past experience maintaining financial records.

3.   Ability to apply Christian principles in the workplace.

Skills & Abilities:

1.   Must have excellent verbal and written communication skills.

2.   Must have computer skills and be willing to acquire additional skills as necessary.

3.   Must have excellent time-management skills.

4.   Must be able to complete a variety of tasks simultaneously and work within a flexible framework.

5.  Must be able to work within the education management and faculty/staff “team” and understand and apply the concept of “servant leadership” as it applies to the School of Education and Wayland Baptist University.

Additional Requirements:

Must have no delinquent or defaulted Student Loans.  A credit check may be conducted to insure the requirement is met.
