RESPONSIBILITIES:

The Business Office Assistant provides general office support through a variety of clerical activities.

SPECIFIC TASKS
AND DUTIES:

1.  Greets guests in a professional, friendly and hospitable manner and directs visitors to the appropriate Business Office staff member.

2.  Professionally answers telephone calls and directs the caller to the appropriate Business Office staff member.

3.  Processes requests from students and staff regarding the annual release of Form 1098-T to students.

4.  Provides callers with information such as Wayland address, directions to the Business Office, Business Office fax numbers, website, and other related information

5.  Handles student accounts by figuring balances due after applying financial aid, receiving payments and recording receipts.

6.  Inputs and maintains Direct Deposit information.

7.  Processes transcript requests and post payments.

8.  Functions as a Cashier by handling petty cash, cashing checks and processing departmental deposits.

9.  Distributes student credit checks and departmental checks.

10.  Hears and resolves complaints from students and the public.

11.  Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

12.  Assists in the ordering, receiving, stocking and distribution of office supplies.

13.  Types memos, correspondence, reports, and other documents.

14.  Files and maintains records.

15.  Assists with other related clerical duties such as photocopying, faxing, filing and collating.

QUALIFICATIONS: A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
Education, Certification and Licence:

High School Diploma or GED.

Experience & Knowledge:

1.  Two (2) years of relevant receptionist experience.

2.  One (1) year customer service experience.

Skills & Abilities:

1.  Must be customer service driven.

2.  Be able to multi-task.

3.  Exercise excellent phone etiquette.

4.  Possess strong organizational skills.

5.  Display strong verbal, written and interpersonal communication skills.

6.  Knowledge of MS Office such as Word, Excel and Outlook.

7.  Maintain the ability to work independently on assigned tasks.

8.  Able to work collectively with the administrative team associates.

9.  Be punctual.

10.  Demonstrate professional appearance.

Additional Requirements:

Must have no delinquent or defaulted items on Credit Report.  A credit check will be conducted to insure the requirement is met.
