RESPONSIBILITIES:

The Administrative Assistant to the Assistant Campus Dean assists with processing registration records, employment applications, student records, greets visitors, forwards telephone messages, inputs data as necessary, assists in developing and maintaining data reports and files. This person also assists with graduations and events as necessary.  

SPECIFIC TASKS
AND DUTIES:
1.  Assist as necessary with faculty records, registration records, student grades and other assigned tasks in timely and accurate manner.

2. Receiving and opening mail; making proper distribution to the appropriate individuals/offices.

3. Assisting with logging and sending batch mail to main campus.

4. Insuring all administrative forms are updated and available for faculty and staff.

5.  Distribute, collect, and summarize, course evaluations for the dean.

6.  Assist with any office administrative needs including, but not limited to: written correspondence, printing term schedules, printing and copying forms, sending out invitations for graduation, etc.

7.  Assist with maintaining security and strict confidentiality of all student, faculty, and staff      information under the provisions and policies of Wayland Baptist University plus all federal and state statutes.

8.  Accurately input student records data as needed.

9.  Follow up with students accounts as needed.

10. Take incoming phone calls tactfully and courteously process these calls to the appropriate staff/ faculty member.

11. Tactfully greet students, prospective students and refers them to the appropriate staff/faculty in a courteous manner.

12.  Assist with registrations which would include performing related assignments accurately and in a timely manner.

13.  Assist with graduations and graduation banquets which will include performing related assignments accurately and in a timely manner.

14. Assists with marketing, fund raising and public relations events/projects as needed.

15. Assist with preparation of yearly objectives as required by the dean or assistant dean. 

16.   Receive student payments and accurately post into Powercampus as necessary.

17.  Ordering supplies for the central office supply closet, insuring adequate supplies are on hand for the campus.

18.  Participating in annual trade shows, recruiting events and presentations as needed. 

19.  Additional duties as assigned.

20.  Occasional Saturday work may also be required.

QUALIFICATIONS: A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular.
Education, Certification and Licence:

Bachelor’s Degree is required.

Experience & Knowledge:

1. One (1) year of office related experience.  

2. Knowledge of how to apply Christian principles in the work place is also required.

Skills & Abilities:

1.  Must have excellent verbal and written communication skills. 

2.  An in-depth understanding of, and commitment to, the “team” and “servant leadership” concepts is essential to advancing the Lubbock Campus mission. 

3.  Excellent computer skills are required. 

4.  Must be an excellent manager of time.

Additional Requirements:

Must have no delinquent or defaulted items on Credit Report.  A credit check will be conducted to insure the requirement is met.
