| RESPONSIBILITIES: | The Administrative Assistant assists with selling, posting records, and maintaining inventory control of the Albuquerque bookstore, processing registration records, faculty records, applications and other student records, sets up and maintains files for new students, greets visitors, forwards telephone messages, inputs data related to student applications and degree plans, assists in developing and maintaining data reports and follows up on incomplete files. This person also assists with registrations and graduations. |
| SPECIFIC TASKS AND DUTIES: |
1. Takes incoming phone calls tactfully and courteously processes these calls to the appropriate staff/faculty member. 2. Tactfully greets current and prospective students and refers them to the appropriate staff/faculty in a courteous manner. 3. Responsible for the purchase and sale of all textbooks, supplies and WBU merchandise, posting of all records related to, and maintaining inventory control of the Albuquerque bookstore and all other duties required by the Bookstore Procedures Manual. 4. Assists with faculty records, registration records, student grades, and other assigned tasks in timely. 5. Accurately inputs student records data. 6. Follows up with students on incomplete files, which must be completed before end of first term of enrollment. 7. Assists in maintaining existing student and faculty files and makes them readily available to staff. 8. Assists with registrations which would include performing related assignments accurately and without delay 9. Assist with graduations which would include performing related assignments accurately and without delay 10. Prepares annual objectives related to the job in a timely manner. 11. Assists with updating this position’s job description as required. 12. Work-hours to be determined by campus dean such that the position will accommodate student needs and faculty needs; occasional Saturday work may also be required. 13. Assist Financial Advisor with financial aid. 14. Proctor tests and mail or fax to the instructors as needed. 15. Update student degree plans to create and maintain a master course list.

| QUALIFICATIONS: | A commitment of Christian Higher education and in agreement with the purposes and philosophy of Christian higher education as promoted by the Baptist General Convention of Texas in general and Wayland Baptist University in particular. |
| Education, Certification and Licence: | Bachelor’s Degree is preferred. |
| Experience & Knowledge: | 1. One (1) year of office related experience. 2. Knowledge of how to apply Christian principles in the work place is also required. |
| Skills & Abilities: | 1. Excellent verbal and written communication skills. 2. Excellent phone and interpersonal skills. 3. An in-depth understanding of, and commitment to, the “team” and “servant leadership” concepts is essential to advancing the Albuquerque Campus mission. 4. Excellent computer skills. 5. Excellent time management. |
