RESPONSIBILITIES:

The Administrative Assistant assists with maintaining School of Music financial records. Additional duties include organization of student and faculty records; participation in publicity initiatives; processing routine   and special reports; and oversight of School of Music Office including maintaining phone line, greeting visitors, assisting faculty and students, and organizing special projects as assigned.

SPECIFIC TASKS

          AND DUTIES:

1.   Assist with School of Music financial records.

2.   Maintain faculty, student and new student records.

3.   Maintain advising materials and assist with registration.

4.   Assist with creation of publicity documents, mailers, posters and newsletters.

5.   Maintain address data bases and process bulk mailings.

6.   Assist with preparation of routine and special reports.

7.   Oversee School of Music Office.

8.   Maintain phone line tactfully and courteously and process calls to appropriate faculty/staff as necessary.     

9.   Greet visitors and prospective students in a tactful and courteous manner.

10.   Assist faculty and students with select curriculum-related activities as directed by the Dean.

11.   Assist with special projects as assigned.

QUALIFICATIONS:

Academic:

Bachelor’s Degree is preferred.
    Experience &  Knowledge:

1.   Past office-related experience.

2.  Past experience maintaining financial records.

Skills & Abilities:

1. Must know or be willing to learn multiple computer and software applications.

2. Must have excellent written and verbal communication skills.

3. Must have excellent time-management skills.

4. Must be self-motivated and have the ability to think critically.

5. Must be able to complete a variety of tasks simultaneously and work within a flexible framework.

6. Must be able to work within the School of Music faculty/staff “team” and understand and apply the concept of “servant leadership” as it applies to the School of Music and Wayland Baptist University.

     Additional Requirements:

Must be able to pass required Background Checks, which may include a Credit Check.
