RESPONSIBILITIES:

The Administrative Assistant is responsible for representing the office of the Provost and Vice President of Academic and Graduate Services to all the offices and to all of the University’s public in a positive manner.

SPECIFIC TASKS

          AND DUTIES:

1. Maintains, creates and processes files for full-time and adjunct faculty.

2. Accurately inputs faculty records into PowerCAMPUS.

3. Follow-up with Academic Deans and Executive Directors/Campus Deans on incomplete files.

4. Prepare and process pay authorizations for External Faculty/ Adjuncts and Overloads for Plainview Faculty/ Adjuncts.

5. Answers the telephones in the multi-line system, answering the questions of students, applicants, professors, administrators, and members of the larger Wayland community.  Addresses concerns and/or sends telephone calls to appropriate personnel in an effort to completely address the concerns of the callers.

6. Serves on University committees whether assigned or volunteered.

7. Assists with other assigned tasks in an accurate and timely manner.

QUALIFICATIONS:

Academic:

1. High School Diploma or GED required.

2. Some college work preferred.

    Experience &  Knowledge:
Two years of proven executive office setting experience.

Skills & Abilities:

1. Two years of proven computer experience.

2. Ability to meet public and work well with others.

3. Excellent communication skills, both written and verbal.

4. Meticulous attention to detail.

5. Must be an excellent manager of time.

6. Punctuality, dependability, integrity, honesty and loyalty in the performance of duties of the position.

7. Ability to learn and retain vast amounts of information from a wide variety of sources.

8. Ability to be a positive force in the office by portraying a positive attitude toward other office personnel, in telephone conversation and in students, family, administration, faculty and staff members.

     Additional Requirements:

Must be able to pass required Background Checks, which may include a Credit Check.
